Open Position: Associate Registrar
POSITION OVERVIEW:
The Associate Registrar is responsible for the management of the Office of the Registrar, including student and faculty records, registration, and daily operations. This role serves as a collaborative, student-centered leader within Academic Affairs, integrating work across Enrollment Management and Financial Services to support the full student lifecycle—from admission through graduation and beyond.
DESCRIPTION OF INSTITUTION:
Founded in 1981, the Institute for Clinical Social Work (ICSW) provides students with a psychodynamic graduate education that values social justice, diversity, and compassionate practice. Our mission is to prepare scholars and practitioners to advance the knowledge and quality of practice in the fields of clinical social work and counseling and to serve diverse communities through professional and academic contributions.
MAJOR RESPONSIBILITIES INCLUDE:
- Provide individualized and supportive service to students, alumni, and faculty regarding registrar functions.
- Complete graduate checklists, verify degree completions, and manage diplomas.
- Fulfill requests for enrollment verifications, transcripts, grade changes, and transfer credits.
- Ensure institutional FERPA compliance and manage monthly NSLDS enrollment reporting.
- Enroll new students in Blackbaud (LMS), manage user accounts, and process leaves of absence or withdrawals.
- Manage course creation, scheduling, and registration each term in Blackbaud.
- Serve as the VA School Certifying Official, handling certification, reporting, and veteran advocacy.
- Coordinate the onboarding experience for matriculating students to ensure a smooth hand-off from admissions.
- Provide data for accreditation, external reports, and financial aid partners.
- Collaborate with the Director of Finance to ensure financial aid oversight.
QUALIFICATIONS & SKILLS:
- Minimum: Bachelor’s degree from an accredited institution.
- Preferred: Master’s degree and experience in higher education academic affairs or registrar administration.
- Proficiency in Microsoft Office Suite and Student Information Systems (SIS), specifically Blackbaud.
- Comprehensive knowledge of student records management (grade submission, attendance, transcripts).
- Strong critical thinking, problem-solving, and decision-making abilities.
- Skilled in handling sensitive and confidential information with sound administrative judgment.
- Excellent interpersonal and customer service skills with a proactive approach to project coordination.
Work Schedule
Monday – Friday, standard business hours with occasional evening/weekend and on-campus hours as needed. Hybrid remote in Chicago, IL 60640.

Compensation & Benefits:
Pay: $50,000.00 - $65,000.00 per year
